Bed-Level Inventory and Billing for Residential Properties
Why bed granularity matters for hostels and shared housing — occupancy rules, electricity allocation, and audit-ready finance.
Bed-Level Inventory and Billing for Residential Properties
Room-level software works for hotels. Hostels, PG accommodations, and student housing need bed-level precision — because that is what you sell, reserve, and bill.
Tekvers built bed-level inventory and billing into our property management platform. This article explains the operational rules that generic PMS tools usually get wrong.
Occupancy vs physical presence
A resident can be physically out (gate exit) while their bed remains occupied until checkout or release. Systems that conflate gate logs with bed availability will:
- Show false vacancy during short absences
- Allow double-booking during approved leave
- Break billing when mess or rent is bed-attached
The platform distinguishes occupancy periods from gate movement — security stays accurate without freeing revenue beds.
Concurrency-safe reservations
Two admissions staff offering the same bed at the same time is a classic failure mode. Requirements:
- Real-time bed validation at offer and check-in
- Idempotent reservation holds with deposit or timer
- Overlap detection on physical occupancy periods
- Waitlist actions that respect buffer rules
Billing locked at check-in
Retroactive rule changes destroy trust and audit trails:
- Agreed rent, mess, and deposit terms captured at check-in
- Monthly invoices generated from locked agreements
- Posted invoices are immutable — adjustments via reversal entries
- Electricity and extras allocated with visible calculation rules
Residents who see how their electricity share was calculated stop arguing every month.
Multi-branch rollups
Bed-level data aggregates cleanly when hierarchy is modeled correctly:
- City → area → property → branch → floor → room → bed
- Branch managers see their beds; executives see portfolio KPIs
- Waitlist pressure, occupancy rate, and overdue AR on one dashboard
